ZONA AI PRIVACY POLICY

This Privacy Policy explains how AZZAM DIGITAL NETWORK, operating the ZONA AI service, collects, uses, stores, shares, and protects information when you visit our website, create an account, use our dashboard, connect communication channels, or otherwise use ZONA AI services.

INFORMATION WE COLLECT

We may collect your name, email address, telephone number, business name, business address, account details, subscription plan, billing and payment records, service preferences, support requests, and information submitted through forms. When you use our services, we may also process AI configurations, knowledge bases, product catalogs, customer contacts, conversation content, attachments, message metadata, and data received through integrations that you choose to connect.

META AND COMMUNICATION CHANNEL DATA

If you connect Facebook, Instagram, WhatsApp, or other Meta services, we may receive account identifiers, business profile details, telephone numbers, Page identifiers, messages, media, delivery status, and other data required to provide omnichannel messaging and AI Agent functionality. We process this data only to provide features you enable, follow your instructions, honor the permissions you grant, and comply with applicable platform terms.

TECHNICAL INFORMATION

We may collect IP address, browser type, device information, operating system, access time, pages visited, security logs, cookies, and diagnostic information to operate, secure, monitor, troubleshoot, and improve the service.

HOW WE USE INFORMATION

We use information to create and manage accounts; provide omnichannel inbox and AI Agent features; process messages, orders, invoices, payments, shipping, follow-ups, and integrations; provide customer support; send service notifications; enforce plan quotas; prevent fraud and abuse; comply with legal obligations; and improve product quality, security, and reliability.

LEGAL BASIS AND CUSTOMER RESPONSIBILITY

We process information to perform our service agreement, based on consent or user instructions, for legitimate interests such as service security and improvement, and to comply with applicable law. Business customers are responsible for ensuring that customer data submitted to ZONA AI has been collected and used lawfully, including obtaining any consent required for marketing or messaging.

HOW WE SHARE INFORMATION

We do not sell personal information. We may share limited information with infrastructure, hosting, database, communications, Meta/WhatsApp, AI model, automation, analytics, email, payment, shipping, and support providers when necessary to deliver the service. These providers receive only the information required for their function and operate under their own security and privacy obligations.

AI PROCESSING

Messages and business data may be sent to the selected AI model provider to generate responses or execute automations. We apply access controls and tenant separation. Users should avoid submitting unnecessary sensitive data and must review AI output before relying on it for important legal, medical, financial, or business decisions.

DATA RETENTION

We retain information while an account is active and for as long as reasonably necessary to provide the service, maintain security, resolve disputes, keep transaction records, or comply with law. After account closure or an approved deletion request, information will be deleted or anonymized within a reasonable period unless retention is legally required. Backup copies are removed according to our backup retention cycle.

SECURITY

We use reasonable technical and organizational safeguards, including HTTPS, access restrictions, service segmentation, credential protection, security logging, and system monitoring. No electronic transmission or storage method can be guaranteed to be completely secure.

INTERNATIONAL PROCESSING

Some service providers may process information outside Indonesia. Where applicable, we select providers that maintain appropriate contractual, organizational, and technical safeguards for their services.
